Buy laptops for business in Poland: start with roles, not models

Most companies need three or four role profiles, not twenty different models.

  • Office and hybrid staff. A 14-inch laptop with an Intel Core Ultra 5 or AMD Ryzen 5 PRO processor, 16 GB RAM and a 512 GB SSD handles Microsoft 365, browser-based tools and video calls.
  • Frequent travellers and management. A 13- or 14-inch ultralight such as ThinkPad X1 Carbon, Dell Pro Premium, HP EliteBook X or MacBook Air.
  • Developers and analysts. 32 GB RAM or more, a fast SSD and a sharp 14- or 16-inch screen for code, containers and large datasets.
  • Design and video. MacBook Pro or a mobile workstation such as ThinkPad P or Dell Pro Max.

Memory in thin laptops is often soldered. Order what the user will need at the end of the replacement cycle, not on day one. Pick Windows 11 Pro over Home. Pro has BitLocker, can join Microsoft Entra ID or a domain, and can be managed through Intune or group policy. On larger fleets, Intel vPro or AMD PRO platforms add remote management.

Stick to one or two series if you can. Docks, chargers and drivers then fit every desk, and a broken laptop can be swapped with a spare.

Lenovo ThinkPad, Dell Pro, HP and MacBook for business in Poland

Lenovo ThinkPad

ThinkPad E is the budget line for standard desks. L is the mainstream fleet line and T the usual corporate standard. X1 is the premium ultralight range, and P covers mobile workstations.

Dell Pro laptops (formerly Latitude)

Dell has renamed Latitude to Dell Pro and Precision to Dell Pro Max. Dell Pro laptops sold in Poland come in three tiers: Base for standard fleets, Plus for mainstream business use, Premium for lighter executive models. Still have a company standard that lists Latitude models? Send it and we map each one to its current Dell Pro equivalent.

HP EliteBook and ProBook

ProBook is the value line for standard desks. EliteBook has better materials and more security and management features under HP Wolf Security. EliteBook X sits at the top of the range.

MacBook Air and MacBook Pro

MacBook Air covers office and mobile work in macOS. MacBook Pro is for development, design and video. Decide how Macs will reach your MDM (Jamf, Intune or another tool) before the first delivery. Enrolment in Apple Business Manager is not part of our service, so your IT team handles that step.

Keyboard layouts and Windows language for international teams

Most Windows business laptops sold in Poland have the Polish programmer's layout. Physically this is a US QWERTY keyboard. Polish characters are typed with the right Alt key, so English-speaking staff use it without noticing. Need UK, German or another layout? List it in the request. Availability depends on the model and on stock for the Polish market, and the quote confirms it.

A laptop that ships with Polish-language Windows 11 Pro can be switched to English in Settings. No reinstall is needed.

Warranty and manufacturer service

Each laptop has the manufacturer's warranty. Length and mode (carry-in, courier collection or on-site) vary by model, so the quote states them per item. We sell manufacturer extensions: Lenovo Premier Support, Dell ProSupport and ProSupport Plus, HP Care Pack. For MacBooks, ask about AppleCare options. Repairs are done by the manufacturer's service, not by us. Some extensions can only be bought within a limited time after purchase, which is why it pays to order them with the laptops.

How we work as a corporate laptop supplier

We check price and stock for each line item. Laptops, docks, monitors and headsets go on one quote and one Polish VAT invoice, even across brands and categories. Payment terms for regular customers are described on the procurement page.

Delivery in Poland, the European Union and Ukraine

Stocked models move fastest. For laptops that are not in stock, and for deliveries to other EU countries and Ukraine, the quote gives a date for each item. Hiring people with fixed start dates? See employee onboarding. For staff who work from home, see equipment for remote employees. Invoicing and cross-border rules are covered in our guide to buying IT equipment in Poland.

Frequently asked questions. Ordering, delivery and warranty.

Can we order business laptops in English and receive a Polish VAT invoice?

Yes. Quotes, orders and follow-up questions are all handled in English, and you are billed on a standard Polish VAT invoice. How VAT applies to a company registered abroad is explained in our guide for foreign companies.

Do business laptops sold in Poland have a US keyboard layout?

Most Windows business laptops for the Polish market use the Polish programmer's layout. It is physically a US QWERTY keyboard with Polish characters on the right Alt key. If you need a different layout, put it in the request and the quote confirms whether it is available.

How quickly can you deliver laptops in Poland?

In-stock laptops ordered on a business day by 4 pm are delivered in Poland the next business day. Models that have to be ordered in get a lead time in the quote.

Can you deliver laptops to employees in other EU countries or Ukraine?

Yes, we deliver to the European Union and to Ukraine. The quote gives the lead time for each destination. The remote employees page shows how we supply people who work from home.

Do you preconfigure laptops or enrol them in Intune or Autopilot?

No. Laptops ship in factory configuration with the manufacturer's preinstalled system. Imaging, Autopilot or Intune enrolment and asset tags are done by your IT team.

Should we choose 14-inch or 16-inch laptops?

For most office roles, 14 inches is the usual standard: light enough to carry daily, and most people work on an external monitor at the desk anyway. 16-inch models suit developers, analysts and anyone who works on the laptop screen for long stretches, at the cost of more weight.

Can we buy laptops on payment terms?

Regular customers can apply for a credit limit and pay invoices on deferred terms within it. Each application is reviewed individually. Details are on the for procurement teams page.
