IT setup for your new office in Poland

We select and deliver the office IT setup Warsaw-based companies need, and do the same for new offices anywhere in Poland. Send the floor plan, headcount and opening date. We turn them into an equipment list for each zone of the office, choose the models and prepare one quote. Everything is delivered to the office address, in the order your IT team or installer needs it.

A floor plan, a headcount and an opening date are enough to start. From them we build the equipment list for every desk, meeting room, switch cupboard and printer corner, and price it as one order.

What the service includes. The scope you will see in our quote.

  • Needs review

    From the floor plan, headcount and roles we work out how many workstations, meeting room kits and network devices you need. Then we ask about what a plan does not show, such as how many people work hybrid and share desks.

  • Workstations

    Laptops or desktops, monitors, docking stations, headsets, keyboards and mice, with a different spec for developers than for the sales floor.

  • Meeting rooms

    Video conferencing kits, cameras, microphones, interactive displays and Microsoft Teams Rooms systems sized to each room.

  • Network

    Router or firewall, PoE switches and Wi-Fi access points sized to the floor area. A NAS if the team keeps shared files in the office.

  • Printing

    Printers and multifunction devices, mono or colour, A4 or A3, chosen for headcount and monthly print volume.

  • Consolidated order and delivery

    The whole order goes on one VAT invoice, even across brands and categories. Lead times for anything not in stock are in the quote.

How it works. Five steps from your first message.

  1. Send the floor plan

    Upload the plan as a PDF, or describe the space: desks, meeting rooms, floors, the address and the opening or move date.

  2. Needs review and list

    We ask what the plan leaves open, then send an equipment list split into workstations, meeting rooms, network and printing.

  3. Quote with lead times

    Net prices, stock and lead time for each line. If an item is short, the quote offers an equivalent with similar specifications.

  4. Delivery to the office

    After approval we place the order. If you order the network equipment first, it can be in place before the desks are set up.

  5. Installation on your side

    Your IT team or an installation company mounts displays, runs cables and configures the network and devices.

Who it is for. Situations where this service makes sense.

  • Companies opening an office

    A first office in Poland, a new branch or an extra floor that has to be equipped from scratch by a fixed date.

  • Companies relocating

    Teams that replace part of their equipment when they move and need the new items at the new address before moving day.

  • Office and facility managers

    People running the fit-out who would rather approve one quote than chase orders from six shops.

  • International groups

    Foreign companies opening an office in Poland, with quotes and correspondence in English.

The equipment list, zone by zone

Plan the IT setup for a new office in Poland zone by zone. Each zone gets its own list and its own date by which the equipment has to be on site.

  • Workstations. Laptop or desktop, monitor, docking station or USB-C monitor, headset, keyboard and mouse. Models are in the business laptops catalog.
  • Meeting rooms. Camera, microphones, speakers and a display or interactive display. What you need depends on room size and platform, for example Microsoft Teams. See meeting room equipment.
  • Network. Router or firewall, PoE switch, Wi-Fi access points and, if needed, a NAS. See networking and servers.
  • Printing. A printer or multifunction device per floor or per team.

Order the network first

Laptops without Wi-Fi and a Teams room without a LAN port are just boxes. Switches and access points have to be installed and configured before people move in, so they go on the first order. Workstations come next, meeting rooms and printing last. Leave your IT team time to prepare systems and accounts. A step-by-step list is in the office IT setup checklist.

Office relocation IT in Warsaw: what to buy and what to move

An office relocation in Warsaw is a good time to look at the age of your fleet. List what you have, with purchase dates and warranty status. Laptops and monitors in good condition usually move with you. The shopping list is what the old office did not need: network equipment for the new space, extra desks, kit for new meeting rooms. Your moving company carries the old equipment. We deliver the new items to the new address.

Warsaw office buildings often have their own delivery rules. Give us the building name, floor and the person who will sign for the delivery. For dozens of workstations, check with the building manager when unloading is allowed and whether the goods lift needs booking.

Selection and delivery, no installation

Our part ends at delivery. Wall-mounting displays, running cables and configuring the network or devices is done by your IT team or an external installer. Pick that person early. They usually know which mounts fit the walls and how many PoE ports the ceiling access points need, and those items belong in your request.

What to send with the floor plan

  • the floor plan as a PDF with desks and meeting rooms marked;
  • headcount and roles, for example 20 office staff and 5 developers;
  • number and size of meeting rooms and your video conferencing platform;
  • equipment you are moving from the old office;
  • delivery address and the date the office must be ready.

Frequently asked questions.

What IT equipment do I need to open an office in Poland?

Laptops or desktops with monitors for each desk, a router or firewall, a switch, Wi-Fi access points, a printer and meeting room equipment. Outside the hardware, you need an internet connection from an operator and software licences.

How do I plan IT for an office relocation in Warsaw?

Start with an inventory of what you have. Decide what moves and what gets replaced, and order network equipment for the new space first. Send the list of missing items through the quote request form with the move date.

Do you install equipment or configure the network?

No. Equipment is delivered in factory configuration. Mounting, cabling and configuration are done by your IT team or an installation company.

Can I send a floor plan instead of an equipment list?

Yes. Upload the plan as a PDF, or a description in xlsx or docx. We turn it into an equipment list for you to approve.

How quickly can you deliver to a new office?

In-stock products ordered by 4 pm (Warsaw time) are delivered in Poland the next business day. Items that have to be ordered in have a lead time in the quote, which you can check against the opening date.

Which printer suits a new office?

Size it by monthly print volume rather than headcount. A mono A4 multifunction device covers most offices. Colour makes sense if you print sales or marketing material in-house, and A3 only if people print drawings or large spreadsheets.

Do you equip offices outside Warsaw?

Yes. We deliver across Poland, to the European Union and to Ukraine, and the scope of work is the same everywhere. Lead times outside Poland are in the quote.

Send your office floor plan.

Upload the floor plan as a PDF, or a list of workstations and rooms. Add the date the office has to be ready.
